Position

Overall Purpose

The main responsibilities of the Office Manager are to maintain the office's operations by receiving and distributing communications; this position requires proficiency in the full range of general offices services and functions as well as knowledge of the service we provide.

Key Areas of Accountability and Responsibility

  • Maintain supplies by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; stocking items; and delivery of supplies to work stations. 
  • Manage outgoing/incoming mail/couriers to include the preparation of shipments, tracking 
  • Serve customers and departments by answering phone calls and email inquiries
  • Maintain basic IT equipment by completing preventive maintenance, troubleshooting failures, organizing repairs, monitoring equipment operation. 
  • Forward information appropriately by receiving and distributing communications
  • Enhance organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments. 
  • Maintain operational data in Excel.
  • Creates documents in Word or uses predefined templates and form letters.
  • Assist with the preparation of letters, presentations and various projects. 
  • Organizes the scheduling and set-up of meeting rooms.
  • Order and set up laptops for all new hires, assist with IT support calls.
  • Assist all departments in various tasks as needed. 
  • Issue Employment application to all walk in candidates.
  • Organize team social events to include scheduling and set-up of venue space, vendors, materials etc..

Requirements

Knowledge/Skills

  • Knowledge of and ability to use various Microsoft Office software applications including, Word, Excel, PowerPoint, Outlook and file management. 
  • Ability to Multitask with a high attention to detail.
  • A team player who is personable.

  • Ability to work independently.
  • Ability to take on new tasks/projects.
  • High level of organizational and documentation skills.

Experience/Qualifications 

  • Must have at least one year of relevant experience managing and working in an office environment. 
  • Authorized to work in the United States
