Position

The Business Administration Manager purpose is to oversee the local (Dublin) cashiering and finance processes and to act as the liaison and manage the city day-to-day operations and the European Finance team based in London.

Requirements

Key Areas of Accountability and Responsibility

Cashiering

  • Management and training of the local cashiers
  • Cashiering assistance when demand requires
  • Communications with operations management regarding cashiering issues from CSRs/agents
  • Regular Fraud assessment based on ECR/other system data
  • Maintain updated third party vouchers book for CSRs/agents and operations
  • Ultimate responsibility for all BB Dublin cashiering
  • Maintain proper logs for cash shortages and voucher shortages
  • Ensure that a “clean” end of month report is delivered
  • Delegate cashiering duties and ensure that the team is equipped with appropriate materials
  • Create work shifts for new cashiers
  • Decide how many cashiers will be needed for the peak and off peak seasons while maintaining budget
  • Ensure that Drivers floats are efficiently and effectively managed 
  • Produce bi-weekly/monthly KPI reports on items such as shorts/overs and annulments for analysis

Operations

  • Maintain regular communications with Big Bus operations team
  • Maintain communications with agent and trade sales teams and ensure timely delivery of interdepartmental information in fraud investigations and shortages
  • Ensure prompt resolution of any cashiering issues/challenges including short/overs
  • ECR data cleansing and maintenance

Finance

  • Assist central European finance team as required:
  • AR billing of partner accounts at the month end. This requires knowledge of cashiering processes and SAP accounting software.
  • Complete cash reconciliations through to cash receipts in the bank.
  • Ensure that all refunds are being processed and that all aspects of refunds are properly handled
  • Maintain and communicate CSR and Drivers commission sheets between the operation, payroll and central team for processing. Provide ad-hoc analysis on CSR commissions as required
  • Liaise with Central Finance regarding any payroll matters  

Systems Management

  • Systems data maintenance
  • Ensure assignment of new voucher books to prepaid partners and liaise with the central data team to ensure correct creation of new partners in ECR, LAP, SAP and any other systems as required
  • Prepare analysis for management on data captured across Big Bus systems. Including, but not limited to, correct allocation of sales by channel, capture of commission rates and correct reporting of ATP

Knowledge

  • A knowledge and understanding of the systems (ECR, LAP, SAP) and processes used at Big Bus is a significant advantage.

Experience/Qualifications
