Position

Front of House


· Welcoming guests and clients, offering tea & coffee and alerting people of their guest’s arrival

· Meeting room management, clear down and assistance (troubleshooting, general help)

· Keeping reception area tidy, organising newspapers/magazines on reception tables

· Maintaining the condition of the office, liaising with external parties for repairs and maintenance

· Managing inbound and outbound mail & deliveries

· Managing fobs & access cards, including bike storage access

· Lost property

· Removing out of date food from the fridges weekly


Supplies


· Ordering office snacks, fruit, tea & coffee in accordance with our net zero targets

· Ordering stationery stock and ensuring the printer is stocked with enough ink and paper

· POC for lending out IT equipment and keeping the IT team updated on stock levels


Events

· Helping with Lunch & Learn and TownHall set up

· Ordering lunches for client meetings

· Organising Monthly office birthday drinks

· Assisting with social events eg socials, wellbeing events, Systemiq Day


People/H&S


· Manage the DSE portal admin and highlight any threats to HR

· Onboarding - office tours for new joiners, ordering new joiner merchandise

· Health and Safety: booking training upon expiry dates of courses eg first aid, fire safety


Miscellaneous

· Management of the general Systemiq inbox (forwarding the emails to the relevant people)

· Liaise with building management for utility bills and communicate this data to the Net Zero team

· Any other adhoc task as required

Requirements

· This person needs to be in the office five days a week between 08:30-17:00

· Minimum one year experience in a Receptionist, Office Admin or Office Assistant role

· Friendly and approachable, you will be the first point of contact for the London office

· A self-starter and self-motivated

· Punctual and highly organised, ability to multi-task

· Genuine interest in sustainability and current affairs

Other information

Contract: Full-time permanent contract
