Post Summary



RCPI is seeking to appoint a Project Manager as a business change agent who leads, oversees, monitors and drives strategic change projects and initiatives; supports the business in carrying out improvements, identifying and documenting their business requirements, implementing new ways of working and brings real focus, rigour and discipline in how we plan and manage our core business, core business change projects.


IT Services / Project Services is responsible for delivering and accelerating the digital technologies transformation project portfolio within RCPI. It manages digital innovation, creates value for RCPI through technology, manages the technical infrastructure and architecture, and supports staff and stakeholders through this transformation while reducing complexity, cost, and risk for the organisation.


Currently, RCPI is progressing a significant programme of transformation across the organisation, and the successful candidate must demonstrate a proven ability to support this initiative based on previous experience in similar programmes of work.



The Project Manager will work within the Project Services team in IT Services and be responsible for the following:



  • Delivering services to internal clients and manage complex projects and programmes. The Project Services team are currently engaged in several exciting organisational change projects and programmes, including large multiyear and complex change programme working with external partners and suppliers.
  • Supporting a portfolio of small projects with a range of different deliverables and challenges, with challenging timescales for completion, while engaging both internal departments as well as the international RCPI community.
  • Managing several of these projects, delivering milestones on time and to budget while managing complex risks and relationships.
  • Holds a central role in every project, ensuring excellent delivery, either directly providing project management services or by indirectly by supporting other RCPI departments by supplying project management and business analysis consultancy services.


The Project Manager is key in ensuring projects are set up correctly as per RCPI Project Management Framework and Methodology to ensure smooth running going forward and developing a strong relationship with the users, and other project stakeholders.


This role will support the Project Services Lead and Head of IT in the delivery of other large programmes within RCPI, including developing the skills and capacity coaching and mentoring of the staff working on projects, and developing project management and business analysis skills and competencies within RCPI.


The successful candidate will be a business change agent who leads, oversees, monitors and drives strategic change projects and initiatives; supports the business in carrying out improvements, identifying and documenting their business requirements, implementing new ways of working and brings real focus, rigour and discipline in how we plan and manage our core business and core business change projects.


Standard Duties of the Post


Project Management, Data Management and Process Transformation

  • Set up and maintain all project-related processes and systems to ensure effective project delivery and business analysis using RCPI’s Project Management Framework and Methodology
  • Have experience in process architecture methodologies and techniques, such as process mapping, requirements capture etc.
  • Proactively track project progress and monitor deliverables and milestones; identify issues and alert stakeholders; update budgets and resource work plans.
  • Liaise with Head of IT and Project Services Lead on regular basis on issues that require his/her advice and ensure excellent project delivery.
  • Manage project team members both internal and external as necessary including contracting, writing SOWs, and project performance management.
  • Organise and regularly participate in project team meetings to ensure shared project approach and understanding of progress.
  • Quick understanding of source system functionality and capable of translating business requirements into technical solutions.
  • Ideally, technically strong to manage and apply the complex business data transformation rules.

Support the Project Services Team to drive continuous improvement and efficiencies.

  • Adhere to and maintain the project management methodology and best practices and processes including training, document templates, reporting and planning information for successful project delivery through RCPI Project Management Framework
  • Coach, mentor and support colleagues, subject matter experts and business stakeholders through project management methodologies and tools, business change, manging their project goals and deliverables to successful project conclusions.

Requirements

Person Specification


  • Must have 5+ years’ experience of project management methodologies and project management process areas, such a planning, scheduling, procurement, risk, cost etc or have recently attained a recognised Project Management certification (PMI or IPMA).
  • Excellent analytical, organisational, communications and relationship building skills.
  • Good organisation and education industry awareness.
  • Ability to influence and motivate project stakeholders to gain buy-in and build consensus to deliver on objectives.
  • A general knowledge of business process management, requirements engineering and some experience in BPM Tools usage.
  • Highly self-motivated with strong customer-service orientation
  • Excellent communication, listening and interpersonal skills.
  • Keen attention to detail
  • Experience working in a team-oriented, collaborative environment.
  • Ability to work on own initiative.
