Position: Kaizen Programme Coordinator

Contract: 18-Month FTC

Salary range: €33,000-€36,000

About the Role

Reporting to the Training and Faculties Managers and Team Lead in the PTE department, the RCPI is seeking a Programme Coordinator to support the current Kaizen Programme Coordinator on an 18-month contract basis. This is an exciting opportunity for someone who has a strong working knowledge of systems and/or databases coupled with a keen interest to learn.

The Kaizen Coordinator will be responsible for the following but are not limited to.

  • Administration support to all users of Kaizen – maintenance of action tracker/log.
  • Supporting end users by providing technical assistance to trainees and trainers.
  • Answer questions or resolve problems that arise.
  • Follow the bug triage process when dealing with queries.
  • Day-to-day operational maintenance of Kaizen including uploads, customer queries, and preparation for key dates in the training year.
  • Member of any improvement projects for the systems including any development projects.
  • Conduct acceptance testing and participate in end-user testing.
  • Build curricula and forms in the Kaizen system for TFO and International.
  • Report Building for Kaizen TFO and International.
  • Conduct yearly processes for the systems e.g. yearly rollover.
  • Update department policies and procedures in line with business changes along with the Team Leads.
  • Stakeholder engagement - interact, communicate, and involve identified stakeholder(s) including system vendors, IT, etc.
  • Develop SOPs and user guides for Kaizen with guidance from Team Leads.
  • Training of identified superusers within the TFO and International department to ensure continuity of knowledge and transfer of.
  • Attend IT meetings on an ad hoc basis as required by TFO or International.

The successful applicant will have a working knowledge of various systems and a keen interest in learning and achieving team goals.

  • Strong communication and interpersonal skills combined with sound judgment are required to facilitate work with a wide range of individuals and groups.
  • Ability to manage key business relationships as the role involves a high degree of interaction and collaboration with key stakeholders.
  • Self-starter with high motivation and the ability to work flexibly on own initiative and as part of a team to achieve goals within agreed timeframes.
  • Strong writing skills with experience in drafting and preparing reports, letters, presentations, etc.
  • Ability to manage time and prioritise with an ability to be flexible in the approach to work.
  • Proven organisational capability and high levels of personal effectiveness. The person is expected to handle a varied and diverse workload to meet deadlines while ensuring accuracy, timeliness, and meticulous attention to detail.
  • Strong intellectual, analytical, and thinking skills.
  • Advanced MS Excel, Word & Outlook skills, and the ability to work efficiently with multiple systems of information.
  • Experience in a medical administration environment and collaborating with clinical specialists is desirable.
  • Experience working with databases/website editing is desirable.
  • Project Management experience is desirable.
