Position

To coordinate the provision of general office support and administration, encompassing the general administration, senior management support, guest management, ordering office supplies and helping facilitate internal meetings. Next to the Office Manager responsibilities the HR part of the role focuses on recruitment, onboarding and health and safety for the Amsterdam Office. The Office Manager/HR Assistant is responsible for overall support of staff and reports directly to the VP of Human Capital. The role consists of:

  • Act as the ‘face’ of the business and are the first port of call for all visitors;
  • Work closely with cleaning services team to maintain office order;
  • Plan meetings, conference calls, lunches and other related events;
  • Arrange logistics for business travel;
  • The key contact for all suppliers and colleagues in the office;
  • Manage and order (IT) equipment, office supplies and furniture;
  • Overall cleanliness, and physical appearance of our office space, organized storage rooms;
  • Organize company events;
  • Assist with international employee moves as needed;
  • Assist ad hoc with various administrative tasks for the HR department;
  • Managing and supporting the recruitment and onboarding process;
  • Support, HR admin tasks, including the central person for office health and safety;
  • Work closely together with our finance department, holding track on incoming invoices, payments and system processing;
  • Working closely with the CEO and senior leadership, duties can include everything from managing calendars, travel, and meeting preparations.

Requirements

  • Bachelor degree in Human Resources / Management of Personnel;
  • 3 years'+ of experience in a similar role;
  • Fluent in English, both in speech and in writing;
  • Live in or nearby Amsterdam and full time available;
  • Ethical, respectful, and able to deal with confidential and sensitive matters.
  • Proven ability to handle confidential information with discretion;
  • Adaptable to various competing demands;
  • Demonstrate the highest level of customer/client service and response.
  • Exceptional organizational and interpersonal skills attention to detail;
  • Pro-active self-starter who can take initiative and has a can-do mentality;
  • Have a professional and welcoming demeanor both internally as externally;
  • Able to project manage multiple projects simultaneously;
  • Proficient in Microsoft Office applications, Google tools, HRM systems;
  • Excellent interpersonal and written communication skills;
  • Strong multitasker that can run multiple projects at the same time;
  • Speak up, proactive attitude, eye for improvements;
  • Meet miscellaneous needs of a fast-paced development team;
  • Flexible, able to accommodate ever changing schedules and business needs;
  • Anticipate needs, take initiative to resolve issues in a timely manner.
