Position

The Personnel Assistant supports and assists the Personnel Coordinator & Personnel Supervisor to provide the administrative and logistical support to MRE’s personnel working offshore, as required by the respective Project Managers and Fleet Manager. The Personnel Assistant is accountable to the Personnel Supervisor and is based in the Portsmouth Office.

Duties and Responsibilities:

  • First point of contact for all personnel related queries via telephone and email
  • Researching travel and accommodation options including flights, trains and hire cars to present to the Personnel Supervisor
  • Assisting the Personnel Coordinator in booking travel
  • Managing safety equipment and workwear for all personnel
  • Assisting with the processing of invoices and maintaining accurate cost records
  • Assisting with preparation and review of budgets
  • Managing MRE’s training management system and databases in accordance with company policies, objectives and procedures. Booking training courses when required
  • Ensuring all personnel are in possession of the relevant certification
  • Providing other support to the department and office as required

Requirements

Qualifications, Skills and Experience

  • Educated to degree level preferred or relevant equivalent professional experience
  • Minimum one-year experience in a relevant administration-based role
  • Good numeracy skills
  • Communication / interpersonal skills – ability to speak and write in a clear, concise manner to build credibility with people at all levels of seniority
  • Excellent telephone manner
  • Ability to organise and prioritise own workload
  • General computer skills including the use of Microsoft Word, Excel and PowerPoint
  • Organisational skills – a high level of attention to detail and focus on accuracy is vital, as is the ability to plan ahead and manage competing priorities to deliver and contribute to the improvement of systems, procedures and ways of working, and to “add value”
  • Problem solving skills – ability to think laterally to provide prompt, practical, cost effective solutions to challenges and problems
  • Proactive - able to assess the needs of each assignment. Able to take initiative but also not be afraid to ask for help when required.

Other information

Competitive remuneration package with 25 days holiday + bank holidays a year, pension, with a competitive starting wage dependant on skills and qualifications. Full time 37 ½ hr week. Full training & support will be provided where necessary and appropriate.
