Position

The Admin Assistant (Recruitment) is responsible for supporting the Recruitment Manager in the sourcing, interviewing and employment engagement processes for offshore personnel. The department ensures the company engages the most appropriate subcontractor’s candidate for an open position by determining their suitability for the role. Working closely with the Project Managers and the Personnel department, the Admin Assistant (Recruitment) is accountable to the Recruitment Manager and is based in the Portsmouth Office.

Duties and Responsibilities:


  • Manage recruitment queries and be the first point of contact for all vacancy opportunities
  • Work closely with the Project and Personnel Teams to ensure that there are adequate resources deployed to all projects.
  • Identify where potential vacancies are and recruit accordingly.
  • Build talent pool of suitable candidates ensuring adequate coverage for all personnel
  • Interview, screen and recruit new personnel for current and upcoming projects
  • Onboard new offshore personnel, ensuring certification is in date and complete.
  • Manage the recruitment database for offshore personnel
  • Manage tenders, contracts and variation orders for active offshore personnel.
  • Manage IR35 determinations for all relevant offshore personnel

Requirements

Qualifications, Skills and Abilities:


  • Educated to degree level or equivalent professional level preferred.
  • Minimum three years’ experience in administration-based role
  • Good communication and interpersonal skills – ability to speak and write in a clear, concise manner to build credibility with people at all levels of seniority, in particular making direct calls by telephone.
  • Able to organise and prioritise own workload.
  • General computer skills including the use of Microsoft Word, Excel and PowerPoint.
  • Organisational skills – a high level of attention to detail and focus on accuracy is vital, as is the ability to plan ahead and manage competing priorities to deliver and contribute to the improvement of systems, procedures and ways of working, and to “add value”.
  • Problem solving skills – ability to think laterally to provide prompt and practical solutions to challenges and problems.
  • Proactive - able to assess the needs of each assignment, to take initiative but also to be unafraid to ask for help when required.

Other information

Competitive remuneration package with 25 days holiday + bank holidays a year, pension, with a competitive starting wage dependant on skills and qualifications. Full time 37 ½ hr week. Full training & support will be provided where necessary and appropriate.
