Position

Senior Corporate Services Officer - Salary £35,000 per annum with annual Performance Related Bonus up to 5% of salary (after probationary period)

The Corporate Services Department is recruiting to a Senior Corporate Services Officer to join its team. The department provides Human resources, training, staff engagement, external communications, IT and digital services through our 3rd party providers and also looks after office services. It has an exciting and varied remit, which is challenging at the same time.

You will be based at our head offices on the Romford Road in Stratford London which will shortly be the home to 32 staff as part of our planned growth. Nearby is the Olympic Park and Westfield Shopping Centre, as well as the newly built £147.6m Atherton Leisure Centre.

Reporting to the Corporate Services Director you will play a crucial role in building capacity within Corporate Services. Requirements

Job Purpose – duties and responsibilities

  1. Provide operational support to ensure the effective infrastructure to assist in the professional running of Local Space.
  2. Provide transactional HR, IT and soft FM support.
  3. Develop policies and procedures to establish good practise and that we operate with our legal obligations.
  4. Provide support to the Head of Corporate Services in the implementation of engagement and communication

Key tasks

  1. Ensuring that new starters are compliant with the amended statutory code 2014 to prevent illegal working and avoiding unlawful discrimination while preventing illegal working.
  2. All employment checks must be robustly carried out and communicated to payroll.
  3. Ensure that staff induction, timely issue of employment contracts.
  4. Ensuring any contractual changes are communicated in accordance with the payroll monthly deadlines, including issuing amendments to salary.
  5. Provide support to managers in line with Local Space policies and procedures, taking direction from the Head of Corporate Services as appropriate.
  6. Manage the HR recruitment module, entering applicants’ details and equalities monitoring. Providing the hiring managers with appropriate support ensuring all recruitment is conducted within an equalities framework such as adjustments made for disability.
  7. Support the Head of Corporate Services in developing the HR system, auditing the system as directed and working with managers to enable compliance. Provide management and workforce information to EMT and senior managers.
  8. Maintain paper and electronic personal files in line with data protection legislation.
  9. Administer Local Space e-learning tool, ensuring the new staff and Board members on the system and instructing leavers are taken off.
  10. Support the Head of Corporate Services in servicing the Remuneration and Nominations Committee.
  11. Liaise with payroll and produce the monthly payroll sheet. Diarise staff changes and take the appropriate action.
  12. Manage the storage of records, ensuring the transfer of records off site, retrieving records and organising disposal of records.
  13. Report office equipment e.g. photocopies repairs in a timely fashion in accordance with contracts frameworks.
  14. Ensure stationary orders and supplies are distributed, including corporate consumables
  15. such as towels and cleaning products.
  16. Support the Head of Corporate Services to identify and secure contracts for soft FM reporting any issues in relation to the office cleaning, taxi, water coolers/boilers and any other contracts managed by Corporate Services.
  17. Undertake workplace assessments and administer VDU sight tests.
  18. Ensure that there are adequate numbers of trained first aiders and fire marshals
  19. Support the Head of Corporate Services in all areas of Health & Safety to include first aid, procuring and issuing of lone worker app, PPE etc.
  20. Support the IT Administration via Local Space’s IT contractor, reporting any concerns to the Head of Corporate Services who will manage the contract.
  21. Support the provision and procurement of the mainline and mobile phone lines for the company reporting any issues to the Head of Corporate Services.
  22. Assist the Head of Corporate Services in relation to event management and communication as required.
  23. Maintain the Local Space website and monitor social media as required.
  24. Work with staff to provide materials for the staff newsletter, produce the newsletter using a pre-existing template and support internal staff engagement.
  25. Any other reasonable duties within the general scope of the roles and responsibilities of the Senior Corporate Services Officer.
