The South Westminster BIDs is an alliance of Business Improvement Districts covering Victoria, Victoria Westminster, Whitehall and Northbank. The area stretches from Belgravia to the Royal Courts of Justice and includes major London landmarks Buckingham Palace, Parliament Square and Trafalgar Square. Encompassing the majority of the historic processional route through Central London and major transport hubs, the area is also home to a large number of corporate occupiers, office workers and Government Departments.

We play a fundamental role in generating, promoting and executing projects that aim to support economic growth through placemaking and create a vibrant destination for those who work, visit or live in the area. Creating a high-quality public realm and environment is at the heart of what we do.

The South Westminster BID Executive Team currently has responsibility for various BID areas: Northbank, Victoria, Victoria Westminster and Whitehall. We will also work with the wider teams in the delivery of the BID team’s Business Plan objectives for these BID areas.

Position

Purpose of this position

  • We are looking for someone to provide cover for maternity leave for up to 18 months.
  • You will be responsible for delivering the South Westminster BIDs’ annual events programme;

Key objectives

  • Commissioning events which raise the BID profile and engage with levy payers, residents, and visitors;
  • Ensuring excellent customer service and quality delivery of events;

Key responsibilities

  • Helping set, communicate and maintain timelines and priorities on every project;
  • Being responsible for all annual events the annual budgets ensuring the events are delivered within budget;
  • Maintain and build effective relationships with a wide range of stakeholders, including local business, external agencies, senior managers and internal colleagues;
  • Securing permissions from outside authorities including Westminster City Council, to host events where required;
  • Instructing and managing third party suppliers;
  • Liaising and coordinating suppliers, partners and key stakeholders;
  • Contributing to the BIDs’ wider marketing strategy;
  • Supporting other BID team members in delivering their themed events;
  • Attending and co-leading the quarterly Destination Steering Group meetings with the Marketing Manager;
  • Working with the marketing team to deliver or commission events marketing material;
  • Providing content for the BIDs’ online channels to promote the events programme;
  • Liaising with designers and printers;
  • Negotiating contracts with external suppliers to optimise value;
  • Organising event photography and video production;
  • Exercise analysis to drive improvements;
  • To be an ambassador for the company at all times internally and externally;

Generic Accountabilities

  • Planning and organising requires integration of limited range of activities and resources;
  • Flexibility to take some initiative but within well-established procedures
  • There is a requirement to understand basic knowledge of business improvement districts and how they function;
  • Supervision not close and reporting at regular intervals during the work sequence;

Requirements

Qualifications Good degree level education; Event Management degree is desirable but not essential;

Job Function Technical Knowledge and Skills

  • Excellent organisational and negotiation skills;
  • Strong and effective communicate skills at all levels – internally and externally with an excellent telephone manner and interpersonal skills;
  • Well versed in social media with strong IT skills, including MS Word, Outlook, Excel, Powerpoint and Eventbrite;
  • The ability to be creative with ideas for different events;
  • Good eye for detail;
  • Creative thinking and the ability to actively promote ideas and initiatives both internally and externally;
  • Excellent time-management skills to ensure the efficient running of an event;
  • Sales and marketing skills to promote the event and attract sponsorship;
  • Flexible approach to changing deadlines and prioritisation of workload and tasks;
  • Ability to adapt flexibly to new priorities and additional tasks;
  • The ability to work as part of a team, and on your own initiative, is essential, along with the skills to be flexible, multitask and work to demanding deadlines in a busy working environment;
  • Plan and prioritise work to manage conflicting tasks, meet delivery deadlines/ targets, review progress, with minimum supervision
    Must have the ability to cope with pressure;
  • Positive attitude towards working in a challenging and changing environment;

Experience

  • Ideally have up to 5 years or more of progressive responsible positions in event management;
  • Must have had experience of effectively managing a budget;
  • Must have experience with Eventbrite;
