Permanent, Part-time

Working hours: 1-2 days per week, 8 am - 5.30 pm (Saturday and/or Sunday)

Salary: Up to VND 600,000 per day

Join our dynamic team as a part-time Customer Service Specialist in Hanoi! This exciting role offers the opportunity to support IELTS examinations, organise engaging events, and contribute to our marketing and administrative efforts. As a Customer Service Specialist, you will play a crucial role in ensuring a positive experience for our students, test-takers, and visitors.


Key Accountabilities:

1. Support IELTS Examination and Relevant Tasks (50%)

  • Assist with the invigilation of IELTS and other examinations, ensuring smooth operations.
  • Download and share footage of testing days with the British Council.
  • Handle ad-hoc situations and report incidents to the Centre Operations Manager.
  • Support potential test-takers and parents with IELTS test registration at UAC Hanoi and UAC HCMC.
  • Check and synthesise monthly IELTS administration data.

2. Support Organising In-Centred Events (30%)

  • Present bi-weekly/monthly IELTS Workshop events co-hosted with BC.
  • Assist with event preparations, including ordering catering, preparing designs, printings, gift bags, and other materials.
  • Find and contact local suppliers for marketing items and swag.
  • Provide support during and after events, including checking laptop connections, participant attendance, and taking photos.
  • Greet and assist visiting parties, such as local education agents, institutions, corporations, and other potential stakeholders.

3. Other Marketing, General Administrative Tasks, and Reports (20%)

  • Assist in content development and maintenance of social media and other marketing channels by engaging with followers.
  • Support the production of Vietnamese-language marketing collateral.
  • Present a professional and positive image of INTO at all times.
  • Provide administrative and back-end support to International Officers and Recruitment Managers in our UAC, Vietnam.
  • Maintain the highest standard of customer service, prioritising student needs.
  • Support the Centre Operations Manager with daily Centre activity reports and administrative tasks.
  • Participate in trainings, webinars, and workshops as requested.

Qualifications:

  • Strong organisational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Vietnamese and English (both written and spoken).
  • Experience in customer service, event planning, or marketing is a plus.
  • Ability to handle confidential information with discretion.
  • Positive attitude and a commitment to delivering high-quality customer service.
