Position

To manage and support the day to day functionality of the Liverpool office. This includes all administration requirements, diary management and support for the Enterprise Sales Director and the Enterprise Senior Management Team and overall management of the facilities.

  • Provide full administrative support to the Enterprise Sales Director and other members of the Enterprise Senior Management where necessary including managing schedules and diaries so that important tasks and deadlines are not missed.
  • Dealing with and controlling emails for the Enterprise Sales Director
  • Act as a first point of contact for the Enterprise Sales Director; dealing with correspondence and phone calls including enquiries and complaints.
  • Organise meetings and appointments for the Enterprise Sales Director and the Enterprise Senior Management Team, as well as booking and arranging their travel, transport, accommodation, hospitality and training.
  • Budget management for Enterprise. This includes controlling and facilitating spend of; stationary, sundries, incentives, facilities management cost (confidential waste, maintenance work)
  • Handling/typing up sensitive and confidential company.
  • Liaise with visitors of all levels of seniority including investors, suppliers and clients.
  • Key point of contact for facilities management and external stakeholders (i.e. Mason Partners). Ensuring maintenance log is kept up to date/actioned, building facilities is H&S complainant (by identifying and escalating to relevant point of contact- HR/Building Manager). Arrangement and updated log of Fire Marshals and First Aiders for Enterprise.
  • Update Salesforce (CRM system) as required to support the commercial team including printing off reports from dashboards and updating client/prospect information on the system.
  • Providing diary management and administrative support to the Senior Management Team, including expenses submissions, transport/accommodation arrangements, facilitating meetings and taking notes.
  • Work in partnership with Sales Managers, to support on-going and ad-hoc activities i.e. incentive scheme management, co-ordination of induction of new starters.
  • Identify and problem-solve day to day issues within the office environment.

Requirements

  • A track record of experience in an executive PA role and supporting Leadership Teams
  • Good commercial acumen
  • Excellent communication, negotiation and relationship-building skills
  • Excellent organisational and time management skills
  • Proven track record of handling sensitive and confidential information
  • Excellent attention to detail
  • Excellent time management and the ability to work to strict deadlines
  • Excellent oral and written communication skills
  • Previous experience of organising and budgeting travel and accommodation
  • Have a professional, discrete, trustworthy, reliable and diplomatic manner
  • Good knowledge of all Microsoft Office packages
  • Shorthand desirable
  • IOSH qualified and Health and Safety management experience
  • Able to effectively deal with complex problems/situations and arrive at a positive solution
  • Sound working knowledge of Microsoft Office applications, including Word, Excel, PowerPoint
