Position

Hope for Justice is seeking an experienced self-starter, team player and an “outside of the box thinker” to join the Norway team. This is a new role and will be part of our global operations team. Reporting directly to the Head of Operations and Risk (UK), this is a key position, with a hands on approach to building and supporting all areas of the organisations operations in Norway. This is a full time role, but we consider part time for the right candidate (minimum 3 days per week).

In this role you will be responsible for overseeing the local office management, assist with any operational challenges and queries. Ensuring organisational compliance is adhered to for all regulations and legislation, alongside reviewing and updating policies and processes in accordance with local requirements. Collaborate with the Global operations team and work with key stakeholders to understand and manage risk.

To succeed in this role, you will need to be supportive and empowering, work at a fast pace whilst remaining organised. You will have 3 years’ experience in a similar role, with sound experience of establishing positive and productive relationships at a senior level. You will also be able to demonstrate expertise in developing internal processes and systems alongside overseeing budgets and expenses. This role will require candidates to be fluent in Norwegian and English.

I denne rollen har du det overordnede ansvaret for drift av lokale kontorer. Du vil være kontaktpunktet for utfordring og spørsmål fra øvrig ansatte. Du vil ha ansvar for å sikre at organisasjonen oppfyller krav og forpliktelser for å opptre som arbeidsgiver og ideel aktør i Norge, inkludert kontekstualisere globale prosedyrer til nasjonal standard. Du vil samarbeide med vårt globale operations team for å håndtere og minimere risiko for vår organisasjon.

For å lykkes i denne rollen vil du måtte evne å balansere støtte og utfordring til dine kolleger, du vil måtte trives med høyt tempo og være strukturert og evne å gjøre prioriteringer i din arbeidshverdag. Vi søker deg som har minimum 3 års erfaring med lignende arbeid og kan vise til at du har lyktes med å etablere positivt og konstruktivt arbeidsrelasjon med senior lederskap i organisasjonen du var en del av. Du kan også vise til at du har erfaring med utvikling av interne prosesser, samt budsjettering og økonomisk styring. Det vil være en forutsetning at du snakker og skriver flytende norsk og engelsk.

Requirements

Operational Infrastructure

  • Supporting the Head of Operations with the organisation’s systems needs and helping with the prioritisation and development of new systems and processes
  • Overseeing local office management and equipment
  • Assisting with the organisations basic IT requirements and support local contract relationships
  • Helping expand the organisation’s remote communication requirements

Governance & Risk

  • Ensuring compliance of Norwegian charity and company legislation and reporting requirements across Hope For Justice and Slave Free Alliance
  • Assistance gathering insurance requirements and helping monitor renewals
  • Assisting with the Incident Management process and liaising with other departments to ensure incidents are accurately recorded and actioned
  • Ensuring compliance with necessary data protection practices
  • Oversight of the Norway Risk Register working with key stakeholders to understand and manage risk

Policies and processes

  • Ensuring policies and processes are reviewed and updated in accordance with local requirements
  • Assistance liaising with legal advice partners on operational and HR matters when needed
  • Supporting NDAs / contracts for partners
  • Support HR processes in recruitment of staff in Norway

Facilities Management

  • Ensuring the national lease directory is monitored and up to date
  • Maintaining landlord relationships and negotiate lease changes
  • Project management of office changes

Other Responsibilities

  • Undertake any other reasonable duties as requested
  • Support HR processes in recruitment of staff in Norway
  • Understand and uphold the standards outlined in the Hope for Justice Safeguarding policies, acting with due care and attention to safeguard the wellbeing of anyone that comes into contact with our work and reporting concerns if they do arise.

Vi søker deg som vil lykkes med følgende arbeidsoppgaver:

Infrastruktur

  • Støtte til Head of Operations med å implementere nye og drifte eksisterende systemer og rapportering i organisasjonen.
  • Overordnet ansvar for de norske kontorene, utstyr og arbeidsverktøy. (inkludert vurdering omkring evt endring og flytting av kontorfasiliteter)
  • Kontaktpunkt for huseier.
  • Støtte til drift av IT-systemer
  • Assistere organisasjonen bygge ut tjenlig kommunikasjonsløsning som tillater fleksible arbeidsmønster (remote working)

Risikohåndtering og styrearbeid

  • Sikre at organisasjonen innfrir juridiske og moralske forpliktelser, inkludert krav til rapportering for både Hope for Justice og Slave Free Alliance.
  • Kontaktpunkt for forsikringspoliser og endring/fornyelse
  • Kontaktpunkt for avviksrapportering. Prosessere avviksmeldinger i samarbeid med øvrige involverte avdelinger, sikre dokumentasjon og loggføring etterlever standard i Hope for Justice.
  • Ansvar for at personvern og GDPR hensyn er ivaretatt
  • Overordnet ansvar for Norway Risk Register og at tilhørende tidsfrister og tiltak blir fulgt opp.

Prosedyrer og Prosesser.

  • Kontekstualisere og oppdatere prosedyrer og prosesser i samsvar med nasjonal krav
  • Etter behov, gi støtte til juridiske rådgivere i hensyn knyttet til drift og i personal saker.
  • Utforme samarbeidsavtaler og taushetserklæringer til bruk i norsk sammenheng
  • Støtte til rekruttering, utforming av kontrakter, intervju og «onboarding» av nytt personal i Norge.

Andre oppgaver

  • Følge opp evt andre oppgaver pålagt av nærmeste leder.
  • Forstå og opprettholde standarden fra Hope for Justice sine «safeguarding policies», vise høy aktsomhet og oppmerksomhet knyttet til menneskers sikkerhet og velvære, samt evne å rapportere bekymring og avvik om nødvendig.
