Hope for Justice is seeking a highly organized, enthusiastic and great communicator to join our team as our US Office Manager. This position is focused on the successful day to day running of the North Carolina Comprehensive Regional Center (NC Center) providing staff and visitor support across a variety of administrative areas.

The perfect candidate will have 2+ years of experience with a strong background in the operations of a team. This person would also have a welcoming personality and a passion for the work that Hope for Justice does. We are excited to bring on this new position to an ever growing team!

Profil

  • Supervise the Reception desk, including answering phones, welcoming all visitors to the office, and overseeing general hospitality.
  • Manage client referrals and incoming tips during business hours.
  • Ensure all areas of the NC Office are presented and maintained to a high professional standard. Liaise with Building management to ensure good relations with the landlord and that common areas and access are properly maintained.
  • Oversee the answering of incoming calls and ensure voicemails and correspondence are handled appropriately and promptly.
  • Oversee the processing of incoming and outgoing mail to agreed standards.
  • Make regular payments as required for the effective running of operations, having first ensured the accompanying paperwork and approvals are in order
  • Ensure key documentation, including staff files, agreements with suppliers or referring agencies, leases and insurance documentation, client files, etc. is appropriately filed with the right access restrictions in place
  • Provide financial support by entering financial data, maintaining clear financial records, issuing checks, and liaising with any outsourced accountancy firms that are assisting with financial management
  • Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure.
  • Manage general office maintenance and upkeep, including monitoring security, fire risk assessments, fixing breakages, maintaining tidiness, managing cleaners and overseeing health and safety matters.
  • Ensure the office is resourced with stationery, furniture, equipment, business cards, etc., obtaining purchase approvals to source supplies from ethical, competitive providers.
  • Assist with on-boarding new staff e.g. order/repurpose laptops and any other equipment required, provide outline training on using Office 365, health and safety procedures, etc.
  • Assist with calendars, scheduling, planning, and staff and visitor travel arrangements.
  • Anticipate and plan ahead to manage administrative projects and needs for HFJ U.S.
  • Generate reports, meeting minutes, presentations, and conduct research as needed and requested.
  • Assist the Regional Manager as necessary.
  • Assist with other ad hoc operational projects as required.
  • Ensure harmonious working relationships with all Hope for Justice departments and staff.
  • Work at all times in line with HFJ policies and procedures and the wider strategy, culture and ethos of Hope for Justice.
  • Understand and uphold the standards outlined in the Hope for Justice Safeguarding policies, acting with due care and attention to safeguard the wellbeing of anyone that comes into contact with our work and reporting concerns if they do arise.

Salary: Up to $35,000 depending on experience
