Position

The Facilities Assistant reports to the Facilities Manager and is responsible for providing support to ensure facilities services are provided in an effective and efficient manner. You must be able to always demonstrate a high level of security awareness and be willing to work to the Health and Safety and Emergency Evacuation procedures.

This is a full-time position, but hours may need to vary and may include occasional weekend and out of hours attendance on site. The Facilities Assistant will be based at the Grant Park, Cambridgeshire site, UK.

Responsibilities

Working with the FM to ensure the delivery of Facilities Management Services to a high standard across Sosei Heptares sites in Cambridge.

With the Facilities Manager, be responsible for leading Fire Evacuations and Drills

With the Facilities Manager, have responsibility for all building related external contractors in the building on a daily basis, including Cleaning, Maintenance, Plant Maintenance, Refurbishment and improvements work and Pest control.

Manage contractor, contract and suppliers as directed by the Facilities Manager to ensure service delivery.

Site induction for contractors, including Health and Safety.

Assist the Facilities Manager and Operations Team with office moves and other adhoc projects, including ordering furniture and equipment.

Act as a point of contact for organisation members and contractors, ensuring lines of communication are maintained and regularly monitored – such as email and Teams communication.

Ensure attending contractors onsite have the authority to work and have provided the correct risk assessments, health and safety and insurance documentation to commence work. Maintain a record of all contractor work on site.

Liaise with contractors and suppliers to ensure that regular activities are undertaken, e.g. Cleaning, Waste disposal, Recycling, routine PPM

Support and assist the Facilities Manager with administration requirements.

Deputise for the facilities Manager

The successful candidate does not necessarily need previous experience but must have an interest in Mechanical and Electrical Plant, and all aspects of provision and maintenance of suitable laboratory and office environments.

Requirements

Essential

  • Minimum of GCSE in maths and English
  • Good IT skills, including Microsoft Office

Preferable

  • At least two years’ experience working within a Facilities role
  • An understanding of M&E
  • Strong track record of managing external relationships
  • Good understanding of service procurement processes
