Sosei Heptares has approximately 161 employees based at its new R&D research facility at Granta Park. The size of the company ensures a transparent linkage between all activities from early discovery through to clinical development.

Position

We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.

Responsibilities:

The successful candidate will:

  • Support the Executive PA and EA/Office Manager, members of the Exec Team and Heads of Departments with everyday admin tasks
  • Support Charity & Social Committees with specific fund-raising and Company events
  • Booking Travel for staff – domestic and international
  • Creating Travel Packs and itineraries
  • Send internal and external emails
  • Renew Subscriptions and Memberships
  • Credit Card Reconciliations
  • Cover Reception – Lunchtime, Sickness and Annual Leave – between 8-4pm, as and when - including everyday cover
  • Dealing with visitors, new starters and engineers that come onsite
  • Answer switchboard calls
  • Incoming & Outgoing Mail
  • Organise internal & external meetings
  • Ordering online, internet sourcing, potential new suppliers
  • Annotating PDFs
  • Slide Formatting

Requirements

Candidates must be able to demonstrate the following:

  • Experience in office administration.
  • Excellent communication skills with a confident telephone manner.
  • Computer literacy: proficient with Microsoft Office – Outlook, Word and Excel. Some PowerPoint experience would be beneficial.
  • Ability to record information accurately and efficiently.
  • Excellent time management and prioritisation skills and the ability to meet deadlines and ensure tasks are dealt with accordingly.

  • Proactive with a can-do attitude.
  • A friendly approachable manner.
  • Ability to use own initiative and work effectively within the Admin team
  • Be open to new ways of working and have a flexible and adaptable approach to change.
