About the role
The Central Europe and Ukraine Programme covers Czech Republic, Slovakia, Slovenia, Croatia and Ukraine. The Programme Assistant will support the team members located in several countries. The position is an excellent opportunity to work within a professional and developing organisation, and to gain first-hand insight in addressing climate change crisis and supporting development of civil society. We are looking for someone with strong organizational skills and networking capability able to work in multicultural environment.
Key responsibilities
General administrative support to the team.
· Support maintenance and development of extensive network of partners across Europe.
· Support event planning and coordinate team's meetings and workshops
· Schedule multilateral calls and meetings with external and internal stakeholders and assist with agenda-setting and minute taking
· Occasional desk-based research.
· Information management for the team and ensuring team members keep up-to-date centralised notes and files, using SharePoint, Monday.com and Slack
· Organize and manage logistics for country visits, meetings, and conferences, including venue bookings, travel arrangements and invoices.
· Support the team to adhere to ECF guidelines and procedures on all operational matters.
· Assist onboarding of team members.
The Programme Assistant will report to the Programme Director based in Poland and will collaborate closely with the team leaders.
Experience and competencies
Demonstrated interest in the mission and values of the ECF;
· 2-3 years of experience in a similar function;
· A university degree in a relevant discipline, or a similar level of knowledge proven by work experience;
· A strong interest in the development and administration of processes in a team while you share our passion for the climate and the environment;
· You consider yourself to be a completer/finisher and you have strong attention to detail
· You are a proactive and enthusiastic team player, but also able to work independently and to prioritise tasks in a fast-moving work environment;
· You have strong problem-solving skills with a positive, can-do attitude
· You enjoy juggling various tasks and working with numbers and you are able to prioritize effectively
· You are computer literate and are at ease with the MS Office suite
· Fluent in English and excellent command of spoken and written Ukrainian
· You have the ability to work as part of a team, to foster fruitful relationships in a high-trust international community of peers with a spirit of generosity, humility and mutual support.
