About the role
Key responsibilities
As Team Assistant and Office Manager to the Germany Programme, you provide day to day administrative support to the Team as well as taking care of the office management tasks.
Office management – 50%:
Be the first person of contact in the office
Welcome visitors, dispatch phone calls, manage incoming and outgoing post
Act as primary contact person for the landlord and the subtenants if applicable
Liaise with building management and external providers to ensure upkeep of the office
Support the Berlin based staff and visitors
Organise office celebrations and events
Support organising major organisational events taking place in Berlin
Update and communicate office policies / support creating and circulating new policies
Onboarding of new starters
Understand and be able to help with the VC systems in the meetings rooms
Overview meetings organized in the office (order catering when requested)
Support office contract renewal with Head office Manager and Legal Advisor
In charge of office Health & Safety - risk assessments, circulation of policies, organising first aid and fire marshal trainings for staff
As part of the Office Management & HR team support and contribute to potential projects
Support to the Germany Programme team – 50%:
General administrative support to the team and the programme director
Schedule multilateral calls and meetings and meetings with external and internal stakeholders
Organize and manage logistics, for country visits, meetings, and conferences, including venue bookings, travel arrangements and invoices
Support event planning and coordinate team’s annual meeting and in-country and regional workshops
Responsible for information management for the team, ensuring team members keep up-to-date centralised notes and files, using SharePoint, Microsoft Teams and Slack
Support the team to adhere to ECF guidelines and procedures on all operational matters
Assist onboarding of team members
Handle the processing of invoices and expense reports
Occasional desk-based research projects
Experience and competencies
You have 1-2 year’s relevant experience in an administrative function
You have a strong interest in the administration of processes in an office while you share our passion for the climate and the environment
You consider yourself to be a completer/finisher and you have strong attention to detail
You are a proactive and enthusiastic team player, but also able to work independently and to be discreet
You have strong problem-solving skills with a positive, can-do attitude
You enjoy juggling various tasks and you are able to prioritize effectively
You enjoy working with numbers
You are computer literate and are at ease with the MS Office suite
You have excellent written and verbal communication skills in English and German
