The Pooled fund on International Energy (PIE) is an international grant making and strategy platform with a mission to secure a safe climate, clean air and prosperity through encouraging a just transition in the power and steel sectors.

We work with charitable foundations and regional climate foundations to support a diverse set of research institutions, think tanks and civil society organisations working with governments, business and other parts of society all over the world. We aim to back local organisations and international partners to overcome the barriers to clean energy and steel.

PIE was formed in 2013 and is hosted at the European Climate Foundation (ECF). PIE is comprised of a small and dedicated international team of exceptional people based around the world. More at www.pieclimate.org.

Position

Role:

The Pooled fund on International Energy (PIE) team seeks to appoint a Grants Officer to support programme teams and operations with regranting and monitoring grant activities from planning to grant closing to ensure that the grant management policies are applied consistently. This is done in close cooperation with the Operations team, Programme Teams and Partners, and the Finance and Legal departments. The Grants Operations Team ensures organisational effectiveness and procedural compliance. The Grants Operations Team manages the grant lifecycle process and is constantly striving to improve and innovate in collaboration with our stakeholders. The Grant Officer will report to the Head of Grants & Operations.


Responsibilities & Tasks:

  • Provide end-to-end support for the grant life cycle to the grant making team, ensuring a smooth, professional and compliant grant cycle process
  • Collect and generate grant requests and ensure all information is provided and complete
  • Manage the initial due diligence check of new and existing grantees and consultants and ensure that the grant portal system is up to date:
  • Regularly check the grant portal system for outstanding payments, due reports, approval limits, payment confirmation letters
  • Monitor grants through review of grant reporting (narrative/financial) to ensure activities are carried out for the provisional plan, proposal and expenses budgeted
  • Support grantees and programme teams with contract management, including non-cost extensions and amendments
  • Support programmatic teams with budget planning processes and ensure reconciliation between planning budgets and the grant portal system
  • Support PIE team with usage of core systems and tools
  • Provide any other operational duties as assigned by the management

Requirements

Experience and competencies :

  • Demonstrated interest in the mission and values of the Pooled Fund on International Energy;
  • At least three years of professional experience in project, operations, or grants management, working with global partners in challenging contexts;
  • A high standard of evaluating financial reports and budgets;
  • An understanding of and interest in the philanthropy sector and experience working with international NGOs;
  • Excellent written and verbal English skills – additional languages are a plus;
  • Excellent organisational, accuracy and time management skills with a proven ability to work well under pressure, take the initiative and be a creative problem-solver;
  • Ability to work well in a team but also to work independently and be managed at a distance;
  • Strong administrative, finance and data analytic skills;
  • Enthusiastic personality and sense of humour;
  • Impeccable ethics, working and operating confidentially.
