Position

The ECF is a dynamic organisation which has known rapid growth over the last years expanding its presence to different offices across Europe (The Hague, Brussels, Paris, Berlin, London, Madrid, Warsaw...). As we expand, we are looking for a talented and motivated Facility Manager to join our team and play a crucial role in ensuring our offices run efficiently and effectively.

The Facility Manager will coordinate the office managers team, be the main focal point regarding offices issues and ensure good communication across the different office managers. He/she will also be responsible for the office budget.

He/she can act as Project Manager to lead the implementation of ad-Hoc Finance Department projects.


Key responsibilities

•Building Management: Overseeing all building-related needs, ensuring a safe, comfortable, and productive work environment for our team members in multiple locations.

•Team Leadership: Leading and mentoring a team of Office Managers in various locations, fostering a collaborative and efficient working environment.

•Policy Implementation: Drafting and ensuring the implementation of Environmental, Health, and Safety policies across our different offices to comply with local regulations, staying up-to-date with local legislations, and taking proactive measures to mitigate risks.

•Office Moves: Coordinating and leading potential office moves or expansions, working closely with office managers to facilitate seamless transitions.

•Budget Management: Managing and optimizing the offices' budgets, ensuring cost-effective facility operations while maintaining high standards.

•Vendor Management: Managing relationships with external vendors and service providers to ensure the highest quality of services and value for the organisation.

•Insurance and Contracts: Handling insurance policies and services contracts related to office facilities, negotiating contracts, and ensuring compliance with terms.

•Project Management: Managing ad-hoc projects to support the evolution and professionalisation of the organisation.

•Continuous Improvement: Identifying opportunities for process improvement, cost savings, and sustainability initiatives to enhance our organisation's overall performance.


Requirements

Experience and competencies


•Bachelor's degree in Facilities Management, Business Administration, or a related field.

•Proven experience (5+ years) in facility management, preferably in a multi-location and international setting.

•Strong leadership skills with the ability to inspire and manage a diverse team.

•Good knowledge of environmental, health, and safety regulations across multiple European countries is a plus.

•Budget management experience with a track record of optimising costs.

•Excellent negotiation and vendor management skills.

•Strong problem-solving abilities and a proactive approach to facility-related challenges.

•Good communication skills, both written and verbal, with fluency in English; additional European languages are advantageous.

•Ability to travel to various European locations as needed.

•Problem solver and with an analytical mind.

•Dynamic, entrepreneurial with constructive state of mind.

•Strong interest in climate and the environment.
