The European Climate Foundation (ECF) was founded in 2008 as a major philanthropic initiative to help tackle climate change by fostering the development of a low-carbon society at the national, European and global level.

We support over 280 partner organisations to carry out activities that contribute to the public debate on climate action, drive urgent and ambitious policy in support of the objectives of the Paris Agreement and help deliver a socially responsible transition to a net-zero emissions economy and sustainable society in Europe and around the world.

Position

About the role

The ECF is looking for an Executive Assistant to the CEO. The CEO is responsible for overall ECF strategy and organisation, international political engagement, and high-level external relationships including with the French government, amongst others. The Executive Assistant will be responsible for booking the CEO’s travel and scheduling the CEO’s meetings, in consultation with the Chief of Staff. The CEO has a complicated and variable schedule, with frequent last-minute changes. The assistant will need to have a proven track record of managing complexity and adapting to changing circumstances.

The position will report to the Chief of Staff to the CEO and the CEO.

Key responsibilities

Support to the CEO

  • Main point of contact for scheduling the CEO’s meetings, in close consultation with the Chief of Staff
  • Oversee the CEO’s schedule, tracking requirements and possibilities
  • Manage CEO’s invitations to events and meetings – respond to requests and oversee tracking system
  • Plan and book travel, primarily in Europe and occasionally in US and Asia
  • Book meetings and venues
  • Organise and manage CEO’s contact database
  • Retrieve and process expenses for CEO
  • Undertake other reasonable duties as requested by the Chief of Staff or CEO

Requirements

Experience and competencies

  • 5-8 years of work experience in a similar administrative position working for a busy principal; proven track record of autonomously managing a complicated schedule.
  • Proactive attitude and approach, desire to take initiative
  • Impeccable level of French (written and spoken)
  • Very good level of English (written and spoken)
  • Familiarity with meeting co-ordination and stakeholder management
  • Excellent attention to detail, diligence and reliability
  • Proficiency with Microsoft Outlook, Excel and PowerPoint
  • Excellent skills in planning and using initiative
  • Flexibility and capacity to prioritise and manage own workload
  • Tactful with colleagues and discrete with high-level information
