We support over 280 partner organisations to carry out activities that contribute to the public debate on climate action, drive urgent and ambitious policy in support of the objectives of the Paris Agreement and help deliver a socially responsible transition to a net-zero emissions economy and sustainable society in Europe and around the world.

Position

About the role

The ECF is looking for an Assistant to facilitate the workload for the Managing Director (MD) and Operations Director (OD) – Strategic Communications. The MD and OD are senior members of the strategic communications team and are responsible for the overall management and organization of the strategic communications work at the foundation.  

There has never been a more important time to be working on climate change. As towns, cities and countries around the world declare climate emergencies, seas rise, forests burn, glaciers melt, increasing numbers of people take to the streets demanding urgent action and our societies begin to wake up to what the science has been saying for many years. This is an exciting role that will help enable the MD and OD to effectively manage the work of the senior management team and the broader strategic communications team.

The position will report to the OD with dotted line to MD, Strategic Communications.

Key tasks

Support to the MD and OD (approximately: 80%)

  • Attend and minute the weekly management meeting, plan agendas and follow up on action points
  • Diary management for the MD and OD as well as booking meetings and organising travel as required
  • Inbox management
  • Undertake various administrative tasks related to projects and events
  • Retrieve and process expenses for MD and OD
  • Prepare communication and presentation materials
  • Undertake other reasonable duties as requested

Administrative tasks (approximately: 20%)

  • Support the wider management team with shared tasks (e.g. team calls/meetings, holiday calendar etc.)
  • Management Team expense budget control (in liaison with finance team)
  • Assist with video conferencing systems

Requirements

Experience and competencies

  • A genuine interest in the mission and values of the organization
  • The preferred candidate has previously worked as an administrative or personal assistant and has experience of effectively facilitating the work of senior managers
  • Impeccable level of English (written and spoken), other languages a plus
  • Familiarity with meeting co-ordination and stakeholder management
  • Excellent attention to detail, diligence and reliability
  • Proficiency with Microsoft Office 365 and tech affinity, experience working with Mac Operating Systems and other tools such as Slack, Trello, Asana, Google Drive and with video conferencing tools desirable
  • Excellent skills in planning and using initiative
  • Flexibility and capacity to prioritise and manage own workload
  • Tactful with colleagues and discreet with high-level information
  • Outstanding communication skills (verbal and written)
  • Fast learner with a can-do attitude and a hands-on approach to problem solving
  • Should enjoy secretarial tasks and be equally comfortable working on ad hoc or repetitive tasks
  • Is comfortable working towards tight deadlines and managing changing priorities
  • Remains calm under pressure and amidst changing priorities
  • A true team player who is also able to work independently
