Position

About the role

The International Group at the European Climate Foundation is looking for an Administrative Assistant to support the Executive Director of the 2050 Pathways Platform, the Platform's Secretariat team (70%) and the Executive Director of International Affairs (30%).

The priorities of the role are to provide administrative support to the Directors, facilitate effective and efficient day-to-day operations of the Secretariat, ensure smooth implementation of activities, as well as coordinate response on deliverables like funder reports and applications for new projects.

Key responsibilities

Management support

  • Support the development, maintenance and tracking of overall project delivery plans, timeline and action plans, under the direction of the Executive Director
  • Organise calls and meetings with members of 2050 Pathways Platform, grantees, partner organisations, funders and other stakeholders
  • Provide administrative support to the Executive Directors, in particular on diary management, travel bookings and expense claims

Team Support and Coordination

  • Responsible for information management for the team: ensuring team members keep up-to-date centralised notes and files, using Sharepoint, One Note and Microsoft Teams
  • Support team members in other outreach and coordination
  • Organise quarterly in-person team retreat

 Event Management Support

  • Organise and manage logistics, for country visits, meetings and conferences, including but not limited to venue bookings, travel arrangements and expense reimbursement
  • Lead event planning process and coordinate the team for annual meeting and in-country and regional workshops

Other

  • Liaise with ECF back office on IT, finance administration, trainings, staff retreat and others
  • Support the team to adhere to ECF guidelines and procedures on all operational matters

Requirements

  • Strong interest in climate and the environment
  • 2-3 years of work experience in a similar administrative/operational position
  • Excellent communications skills, including fluent spoken and written English
  • Familiarity with meeting co-ordination and stakeholder management
  • Excellent attention to detail, diligence and reliability
  • Proficiency with office software such as Microsoft Outlook, Excel, PowerPoint, OneNote, Teams
  • Excellent skills in planning and using initiative
  • Flexibility and capacity to prioritise and manage own workload
  • Tactful with colleagues and discrete with high-level information
