Position

As the Facilities Assistant and Cleaning Supervisor, you will play an important and responsible role at The Foundry. In this role, you will be responsible for helping the centre to function effectively, ensuring rooms are set up appropriately and in good time, that users’ technical needs are met and overall handyman duties.

The line manager will be the Facilities Manager under the overall supervision of the Centre Manager. You will be expected to contribute to the day to day running of the centre as a whole. You will join a team who are collectively responsible for providing professional, safe and appropriate space and facilities for the centre’s users, however, you will often have to work alone to ensure all requirements of the Centres are met.

The main duties will include:

  • Carrying out small-scale maintenance tasks that do not require specialist training both for the communal areas and for the individual tenants. These include re-painting and decorating, small scale carpentry, repairing windows and doors, changing bulbs, basic plumbing, unblocking toilets and cleaning gutters etc.
  • Investigating day-day building related problems (ranging from boiler/heating breakdowns, leaking roofs and alarm activations etc.) and devising timely and cost-effective solutions in consultation (as necessary) with the facilities manager.
  • Monitoring the condition of the communal areas, tea points and toilet facilities throughout the day and carrying out any necessary tidying.
  • Carrying out gardening duties, soil cultivation, digging, forking, mulching, watering, raking, weeding, edging, pruning, bed preparation and planting when needed.
  • Tenant moves, including preparation of office for new occupation, activation phones and data ports.
  • Assist the Facilities Manager in ensuring the building is safe, pleasant and that the services are functioning.
  • Conducting and keeping a clear and accurate record of weekly inspections of buildings and testing fire alarms.
  • Compliance with Health and Safety legislation, e.g. COSHH awareness (regulations regarding hazardous substances)
  • Setting up furniture for conference meeting rooms.
  • Provide Audio Visual and Information Technology support for Centre users.
  • Supervising the cleaners on a day-to-day basis and with the Centre Manager, agreeing cleaning schedules and monitoring cleaning standards.
  • Ensuring cleaners have the equipment and tools needed to carry out their work.
  • Making sure waste and recycling are managed well within the center.
  • Occasional cleaning duties as apocopate for emergency cover.
  • Checking on stocks of flipchart papers, light bulbs, recycling supplies etc., preparing orders to keep stock at a good level and making sure materials are organized upon delivery.
  • Carrying out porter duties and reception cover.
  • Assisting the Facilities Manager with other duties that he may be required from time to time.
  • Other responsibilities include:

  • Making suggestions on how to improve management and delivery of maintenance and services to tenants, how to achieve the company's social and environmental objectives, etc.,
  • Working to improve the company's social and environmental objectives,
  • Attending company-wide events such as training, the employee conference, etc.,
  • Deputise and cover the facilities manager in his absence
  • Other duties as required, in line with the role.

Requirements

Person Specification

This is a busy, demanding and responsible role that requires an individual with both customer service and practical skills, and a positive attitude. You need to be proactive and organised and show initiative when faced with difficult situations. The person we are looking for will need:

  • Previous experience in a similar post.
  • Practical DIY skills, e.g. painting, putting up shelves, willing to do ’a bit of everything’.
  • Customer care skills with a commitment to provide a good service to our tenants and building users.
  • Good IT skills, particularly Microsoft Office software.
  • Organisational skills and the ability to prioritise his/her work, multi-task and remain flexible.
  • To be trustworthy, personable, and reliable.
  • The ability to act quickly and effectively using their own initiative.
  • To be a team-player and a good communicator.
  • To always maintain a professional standard of presentation and communication with colleagues and tenants.
  • Health and Safety awareness and knowledge.
  • Have some knowledge and interest in social and environmental issues, particularly recycling.
  • Have experience of cleaning.

Other information

Salary: £23,000 - £24,000 depending on experience

Working hours: 37.5 hours per week (flexible)
