Position

Reporting to the Head of Portfolio Delivery, a PMO Analyst is here to support the Project & Programme managers in delivery including co-ordination, planning, control, reporting, analysis, and their insights, as well as supporting the Head of Portfolio Ops in the delivery of key PMO initiatives. In Professional Services Delivery we want to be a trusted delivery partner for clients and ENSEK alike so the PMO analyst will perform a range of key administrative and support tasks to assist with delivering successful outcomes and value to our clients. This is a varied role and a new one here at ENSEK so we’re looking for someone keen to roll their sleeves up and help us shape our PMO offering whilst making improvements in our current ways of working.


KEY RESPONSIBILITIES:

  1. Monitoring existing projects to ensure timely execution and completion.
  2. Gathering and analysing project data to identify its weaknesses and resolve any time-related or budgetary risks/issues.
  3. Preparing project status reports for management review.
  4. Supporting the Head of Portfolio with reporting to communicate with clients about the status and progress of their Portfolio.
  5. Ensuring all project strategies are following company standards, as well as regulatory and/or legal requirements when applicable.
  6. Assisting in project planning and scheduling, including the definition of project scope and objectives
  7. Ensuring project standards and methodologies are implemented and followed consistently
  8. Tracking project performance, specifically to analyse the successful completion of short- and long-term goals
  9. Providing project updates on a consistent basis to stakeholders about strategy, adjustments, and progress
  10. Performing risk management to minimize project risks and issues across the Portfolio
  11. Creating and maintaining comprehensive project documentation, plans and reports for the full Portfolio
  12. Coordinating with Project Managers to make sure that all parties are on track with project requirements, deadlines, and schedules
  13. Providing financial tracking and analysis, including budgeting, forecasting and project profitability analysis
  14. Conducting post-project evaluation and identifying successful and unsuccessful project elements

Requirements

TECHNICAL SKILLS:

  1. Excellent knowledge of project management strategies, processes, and tools
  2. Solid understanding of the project lifecycle, from conception, through to BAU.
  3. Previous experience with PM planning and management tools, such as MS Project and Trello would be desirable
  4. Strong program coordination and administration abilities
  5. Ability to analyse a range of complex data and make decisions based on analytical findings.
  6. Strong IT skills.
  7. Familiarity with RAID management.
  8. Excellent organisational skills, including strong time management and ability to multi-task.
  9. Strong communication skills, both written and verbal and ability to tailor to the audience.
  10. Ability to keep calm when dealing with ambiguity, uncertainty, and hard deadlines.
  11. Flexible and adaptable mindset; willing to go the extra-mile to get the job done and deliver value to the Client.

(2) Your CV is shared securely by link from Cezanne to staff who will be involved in your recruitment only.


9.2 Microsoft 365 and SharePoint

(1) ENSEK uses Microsoft 365, Exchange, and SharePoint for its general email, messaging, document creation, document storage and document sharing.

(2) Your personal data may appear there in an ad-hoc form where you are referenced in any emails or meetings in connection with your recruitment, including emails and contacts from you about placements and recruitment which may be stored in Microsoft systems.


10. HOW LONG DO WE KEEP YOUR DATA FOR?

10.2 Archiving Period - Unsuccessful Applicants

(1) If you are not successful, then we will retain a copy of your data for 18 months after the end of the recruitment process, and we will not use it except: (a) if you re-apply for the same role, or apply for a different role; (b) to check whether we are outside any restrictions preventing us from recruiting you directly and not through a recruitment agency; (c) to maintain evidence in case of claims.
