The German School London was founded in Richmond in 1971. It is an independent school, accredited and supported by the Federal Republic of Germany. We cater for pupils from Kindergarten through the bilingual Abitur and the IB diploma, offering an appealing and challenging educational programme with specific emphasis on German language and culture.

The German School London currently has around 890 pupils from more than 35 nations.

 

Position

We are currently looking for a part-time HR Administrator to provide admin support and help to ensure the smooth running of our HR function. The role reports into the HR Officer/Manager with main duties and areas of responsibility including the following:

  • Provision of general administration support to the HR department as required including filing, telephone answering, scanning, photocopying and emails.
  • Administration of data in HR Software system Cezanne ensuring all entries are up to date and correct.
  • Supporting move from paper based personnel files to electronic files on Cezanne, helping to keep remaining paper based personnel files in order.
  • Providing Cezanne Support to staff and responding to queries about information on the system.
  • Obtaining Board signature for ZFA/ADLK contracts copies and ensuring that ZfA receive 5 copies on time.
  • Preparing Bank reference letters and eFZ request forms (outside of Cezanne)
  • Recording staff training updates on Cezanne - ensuring that all staff regularly undergo safeguarding training.
  • Undertaking required pre-employment checks, updating and discussing with line manager as appropriate, ensuring that Cezanne and the Single Central Register (SCR) are kept up to date and complete.
  • Conducting DBS checks – update all outdated checks for existing staff
  • Providing backup for HR Officer/Manager in their absence, referring issues of concern or more complex HR related queries to them on their return or if urgent to the Commercial Director.
  • Alongside HR Officer/Manager, administering starter / leaver processes including all documentation through Cezanne.
  • Helping ensure all new starter paperwork is completed and relevant information provided to Payroll for processing.
  • Supporting the HR Officer/Manager with the development and implementation of projects as required.
  • Maintaining own continuing professional development, keeping up to date with legal requirements and relevant HR developments.
  • Maintaining appropriate confidentiality of information relating to the Company and its staff and maintain compliance with the Data Protection Act.
  • Any other administrative duties as required.

Requirements

Skills, knowledge and aptitude:

  • Excellent organisational skills including ability to manage time and prioritise effectively, working to deadlines.
  • The ability to work accurately, with attention to detail.
  • Strong IT skills, skilled in using Microsoft Word and Excel packages. Experience in working with HR packages /databases would be beneficial.
  • Ability to work independently and on own initiative within specified guidelines or processes.
  • Well-developed interpersonal and customer-facing skills and the ability to deal with colleagues at all levels.
  • Good listening skills and strong communication skills, both written and verbal.
  • Previous knowledge or willingness to learn about school procedures.
  • Some knowledge of Human Resources legislation.
  • Ideally working towards the Chartered Institute of Personnel and Development (CIPD) qualifications.

Experience:

  • Previous experience as an HR administrator or relevant administrative role.
  • Experience with HR procedures and juggling various administrative tasks in a timely manner.
  • Worked as a member of a team.
