Position

Overall Purpose

This position assists the PA and Company Secretary with the day to day running of our Central Office.

Key Areas of Accountability and Responsibility 

Communication and Customer Service 

  • Be the main point of contact for all visitors in the office and handle enquires with a competent and polite attitude.  
  • Provide refreshments for all visitors
  • Answer incoming calls, take messages and assume other receptionist duties when needed
  • Provide clear and effective communication to the central office on any office related issues, liaising with other teams as required

Administration

  • Support the smooth running of the central office through the procurement of office supplies (E.g. stationary, refreshments)  
  • Manage and distribute all incoming and outgoing post and couriers
  • Update and maintain internal staff contact lists
  • Assist with organising events when necessary
  • Perform administration duties as required and organise the filing system
  • Schedule travel arrangements for senior executives, when applicable
  • Arranging refreshments and lunches for meetings / directors and setting up the meeting rooms ahead of events
  • Produce minute and follow ups for various meetings
  • Assist the Senior Leadership team with drafting written communications, reports, presentations and briefings when required
  • PA and office management cover when the Board PA / Office Manager is on holiday 

Requirements

Skills

  • Significant experience in an administrative role is preferred
  • Excellent organisational skills
  • Excellent telephone skills to deal with all levels of stakeholders
  • Good business awareness, professional approach and respects confidentiality
  • Ability to work within a team, is self-motivated, proactive and can work on own initiative with minimum supervision
  • Proficient PC skills, including Office, Excel, Word, PowerPoint, WebEx and Skype
  • Ability to work under pressure and meet deadlines;
  • Ability to manage multiple tasks and prioritises accordingly;
  • High degree of energy, drive and enthusiasm  
  • High degree of personal integrity with diplomacy and strict confidentiality where necessary. 

Education/ Experience

  • GCSE or A Level

Working Conditions 

9am - 5.30pm Mon-Fri. Due to the nature of the role, flexibility to work outside these hours is essential
